2026 Session Fees
- Camp fee is $420 per session for K-6. All K-6 camps are full-day.
- Camp fee is $210 per session for half-day Pre-Kindergarten. * Please note that children enrolled in the half-day preschool program will not experience the full range of activities, as many special events and extended learning opportunities take place in the afternoons.
- Camp fee is $420 per session for full-day Pre-kindergarten.
- Camp fee is $125 per session for AITs. * This fee reflects the supervision and training provided, while recognizing their contributions to the camp, so they do not pay the full camper cost.
- Full-day camp after-care hours are 3:35-6:00 p.m. Full-day after-care is billed at $14/hour with a session cap of $100; each session is billed separately.
- There is a non-refundable, non-transferable registration fee of $50 per child.
- There is a non-refundable, non-transferable deposit of $200 per child required at the time of registration. The deposit of $200 will be applied to the payment for summer camp.
- There is a sibling discount of 15% off the total due for each sibling registered after the first child. *This will show on the invoice withdrawn on Friday, May 8th, 2026, not on the initial $250 payment.
- A $50 late fee will be assessed for final balance payments, and a $25 fee will be assessed for required health forms received after the due date.
- A $25 fee will be charged for returned checks.
- Fees are not prorated for absences or partially attended sessions.

Register Online

Complete one online registration form per child.

A $50 registration fee and a $200 deposit are required and may be paid online by credit card or PayPal. The $200 deposit is credited towards your child’s total summer camp tuition.

You will not be able to register for sessions that are already full, although registration remains open throughout the summer as space allows.

A confirmation email will be sent from Formsite (form_engine@fs9.formsite.com).
* If you did not receive a payment receipt from PayPal, your payment may not have been processed and registration may be canceled after 6 hours.

Submit Required Forms

All required forms must be submitted by Friday, May 29th, 2026, or within 7 days of registration, if registering after this date. If registering less than 14 days before your child’s start date, all forms must be submitted by the first day of camp.

Proof of identity is required. Parents/Guardians must provide one of the following: a certified copy of a birth certificate, birth registration card, passport, or an original Virginia public school report card.

Campers without complete paperwork will not be permitted to attend until all documents are received. A $50 late fee will apply.

Remaining Balance Withdrawn

The remaining balance will be charged by Friday, May 8th, 2026. Families who register after this date will receive an emailed invoice, and your payment will be processed within 7 days of your receipt

A $25 fee will be applied to any returned or disputed payments.

Invoices will be emailed by mid-April and will be sent from Pinecrest School via quickbooks-email@intuit.com

June Welcome Information

Parents/guardians will receive an update in early June with information on camp policies, pick-up and drop-off procedures and more.
2026 Required Forms
For families new to Camp Pinecrest, a Medical Emergency Care Form and a School Entrance Health Form are necessary. For returning campers, only the Medical/Emergency Care Form is necessary. If a child requires medication while at camp, the additional Medication Authorization Form is required. For those intending to use after-care, the intent to use after-care form is also required. Please forward completed forms to office@pinecrestschool.org. All required forms are due on Friday May 29th, 2026 or within 7 days of registration if registered after May 29th. If health forms are not received 14 days before your camper’s scheduled session, there will be a $25 fee.
The Medical/Emergency Care Form is required for all campers, except current Pinecrest School students, whose forms are already on file.

All information requested on this form is required by the Commonwealth of Virginia licensing regulations and must be on file for your child to attend camp. Please email completed forms to office@pinecrestschool.org.

Failure to submit a complete health history will result in forfeiture of payment, and the child will not be allowed to attend camp.
In accordance with the Commonwealth of Virginia licensing requirements, parents/guardians must submit a completed Commonwealth of Virginia School Entrance Health Form, including an up-to-date immunization record.

Forms must be received by Friday, May 29, 2026, or within 7 days of registration if registering after that date. If registering fewer than 7 days before the session start date, forms must be submitted by the first day of camp. Campers will not be permitted to attend until all required paperwork is received, and a $50 late fee will apply.

This form must be signed by a physician (or designee), a registered nurse, or a local health department official. For children under six years old, the physical examination must have been completed within the past year.

Parents/guardians of children over six who currently attend or previously attended Pinecrest School for school or camp do not need to submit this form, as it is already on file. An updated form may be required for children who were in kindergarten during the 2024–2025 school year or attended preschool camp in summer 2025, depending on the date of their last physical exam.

Camp Pinecrest follows Pinecrest School’s health, illness, and communicable disease policies as outlined in the Pinecrest School Community Handbook.

Parents/guardians of any child who requires prescription medication during the camp day must submit a completed Medication Authorization Form.

This form must be filled out by both the parent/guardian and the child’s physician; only the Pinecrest School Medication Authorization Form will be accepted. A separate form is required for each medication.
